The recurring problem on managed property is not technical. It is that nobody knows what is buried where, because the system was installed by one contractor, extended by another, and repaired by whoever was cheapest that quarter. Every new manager starts from nothing.

So we map as we go and leave you the map. Valve locations, zone coverage, controller programming and what was replaced when. It takes us very little extra time on site and it means the next person to open a valve box — whether that is us or somebody else — is not paying to rediscover the property.

Billing and approvals work the way boards need them to: a diagnosis and a written number before work starts, separated into what is urgent and what can go in next year’s budget. Nobody has to explain a surprise invoice at a meeting.

First question

Who owns the system, and who is paying for it

On a single-family house that takes two seconds. On managed property it can take a season of email. An HOA system routinely waters common area, an entrance island, and a strip the plat says belongs to the lot behind it, all from one controller on one meter. Commercial sites have the same problem in a different coat: a landlord who owns the pipe, a tenant who holds the lease, and a lease silent on which pays when a valve fails.

So we ask before we quote, in writing. Which zones serve common ground. Whose meter the water runs through. Who signs, and at what point a signature has to become a board vote. None of it is technical or billable, and it heads off the conversation where a repair is finished, correct, and disputed for six weeks.

Where it genuinely is not clear we say so and price the diagnosis alone, so the argument happens before anybody spends money on pipe.

Annual, not triennial

A backflow lapse follows the account, not the contractor

Raleigh Water tests residential assemblies every three years. Commercial irrigation is annual, by July 1, and the certification belongs to the tester rather than the firm on the invoice: City of Raleigh certification, filed online by whoever performed it. Chapel Hill sits with OWASA, also annual.

What catches managers out is where the record lives. A missed year is not a note in our file. It attaches to the water account, which is to say the property, which is to say you — and it is still there when the property changes hands. Nobody at the utility cares which contractor was supposed to have handled it.

That is the argument for testing in spring rather than the last week of June. An assembly that fails still has to be repaired and retested before the deadline, and parts for a large commercial device are not always on a shelf. Tested in April, a failure is an inconvenience. Working around people

Servicing irrigation on a property that is in use

A house has one household to work around. A shopping center has customers from ten, a landscape crew every Tuesday, and a restaurant that would rather nobody trenched across the patio at lunch. Most of the friction on commercial work is scheduling, not plumbing.

Two things we want on the first visit: your mowing day and your opening hours. Watering should finish well before the first, because clay soaked overnight takes mower ruts and holds them until August, and well before the second, because a rotor throwing across an entrance is the sort of complaint that reaches a board.

The mowing crew is also, quietly, the largest single cause of head damage on managed ground, and it never gets reported. A deck clips a riser, the head weeps for a month, and the first anyone knows is a wet stripe of grass.
